All registration fees for Camp Coletrain are non-refundable. Once payment is made, we are unable to issue refunds for any reason, including but not limited to personal conflicts, illness, changes in availability or changes to course content.
If you are unable to attend, you may transfer your registration to another individual, subject to approval by Camp Coletrain. To initiate a transfer, you must notify us in writing at least 7 days prior to the start of the camp. Any associated costs or arrangements for the transfer will be the responsibility of the registrant.
Cancellation by Camp Coletrain:
In the unlikely event that Camp Coletrain must cancel a program due to unforeseen circumstances, such as extreme weather or insufficient enrollment, registrants will be offered a full refund or credit toward future programming. Camp Coletrain is not responsible for any additional costs incurred by participants, such as travel or accommodation expenses.
Camp Coletrain Inc. is committed to providing the highest quality educational experience for every participant. Workshop curriculum, instructional content, class structure, repertoire, pacing, teaching methods, and instructional format may be modified or adjusted at the discretion of Camp Coletrain Inc., in collaboration with the instructor and the Music & Artistic Director, to best meet the needs, skill levels, learning pace, and overall experience of the students enrolled.
Curriculum adjustments are a standard part of Camp Coletrain’s educational programming and are made to provide the best possible learning experience for each class. Adjustments to workshop curriculum, instructional content, class structure, repertoire, pacing, teaching methods, or instructional format are not grounds for cancellation, refund, or credit.
Instructor Representation & Professional Expectations
Camp Coletrain Inc. is committed to providing a positive, collaborative, and student-centered learning environment. Our instructors are selected not only for their musical expertise, but also for their professionalism, teamwork, and commitment to our mission of providing exceptional music education.
All instructors, clinicians, guest artists, teaching assistants, and contractors report directly to the Music & Artistic Director, Coleman Smith, regarding curriculum, instructional standards, classroom management, programming, and artistic direction. Instructors are expected to follow the direction and decisions of the Music & Artistic Director in all matters relating to educational programming and student experience.
While representing Camp Coletrain Inc. or any affiliated Coletrain Music Academy program, instructors are expected to:
Support the mission, values, and educational philosophy of Camp Coletrain Inc.
Teach the curriculum, lesson plans, and programming approved by the Music & Artistic Director.
Foster a respectful, encouraging, collaborative, and inclusive learning environment for all students.
Conduct themselves professionally with students, families, fellow instructors, volunteers, sponsors, staff, and community partners.
Work collaboratively with Camp leadership and accept direction regarding curriculum, scheduling, teaching assignments, and program delivery.
Communicate concerns, curriculum recommendations, or program feedback directly to the Music & Artistic Director in a professional manner.
Refrain from conduct that undermines the educational mission, leadership, operations, reputation, or collaborative culture of Camp Coletrain Inc. or Coletrain Music Academy.
Camp Coletrain Inc. reserves the right to modify curriculum, programming, teaching assignments, schedules, or instructor responsibilities at its discretion. The organization further reserves the right to remove any instructor, contractor, clinician, or volunteer from a program at any time when, in its sole judgment, doing so is in the best interest of its students, educational mission, staff, volunteers, or organization.
